    Issue with saving sent emails to IMAP folder on 9.2.5





    In our previous EspoCRM version we had an issue with saving sent emails to the IMAP server. It only worked when we did not use any diacritics in the user’s name (in the user name field, not in the account name).

    Now I’m testing the same setup on a clean installation, without any diacritics, and I still can’t get it to work. Sent emails are not being saved to the IMAP folder.

    The “Save Sent Emails to Folder” option is enabled, the folder exists on the server and is functional. Outgoing emails are sent correctly, but they never appear in the selected folder.

    Where could the problem be?

    Hi it remak,

    Regarding any diacritics, it's better to get rid of them right away and use the equivalents from English.

    As for your main problem, everything works fine on the test instance. The test was conducted for Outlook and Gmail email addresses. I'll give a further example for the settings based on Gmail (although everything should work similarly for other email services):

    1. The Email field must contain an email address that 100% matches the email address you use in your Personal Email Account: in all three tabs Main, IMAP and SMTP (screenshot 1).
    2. In the "Monitored Folders" field check INBOX and Sent.
    3. In the "Sent Folder" field, specify only Sent.
    In your case Sent should probably look like [Gmail]/Sent Items. This is easy to check on the Gmail side. It is important that the Sent folder should be the default one, not some custom one created on the Gmail side and then connected in the "Monitored Folders" field.
    4. After that, send one test email from EspoCRM (from one of these addresses) and from Gmail (from one of these addresses).​
    5. After some time, I go to the profile of our problematic user and see that the email has been created and is displayed in the Sent folder. However, since it was not sent from EspoCRM, its status will be Imported (screenshot 2).
    6. In the Sent folder, this email will be displayed only for our user with email address specified in his profile. And, for example, for the Admin, this email will be displayed in the All folder (screenshot 3).

      The recommendation not to use diacritics in names where they are part of the actual name is somewhat amusing in today’s context. People are named this way, and we are not going to distort their names by translating them into English.

      As I mentioned earlier, our configuration is correct, because when I use a name without diacritics, the sent message is successfully stored on the server in the target folder. I did not say that this concerns Gmail, but a generic IMAP server. To clarify: the server uses Dovecot as its IMAP implementation.

        In this case, you can analyze the EspoCRM error logs (after enabling Debug: https://docs.espocrm.com/administrat...ng/#debug-mode). If you can't figure it out yourself, you can quote the part of the log that is responsible for this error here. Maybe this part of the log will help our community members help you.
