  • Best Practices for Tracking "Donations" in EspoCRM for Non-Profit Organizations

    Hi EspoCRM Community,

We are working on a project for a non-profit organization focused on humanitarian aid, and I’m looking to set up a streamlined process for tracking and managing donations within EspoCRM.

Has anyone worked on a similar project or implemented a "Donations" module in EspoCRM? If so, I’d love to hear about your experience and any best practices you can share. Specifically, I’m interested in:
    1. How donations were recorded and categorized (e.g., monetary, in-kind contributions).
    2. How donor data was managed and linked to donation records.
    3. Any workflows, automations, or formulas you found particularly helpful for this use case.
    4. Tips on reporting and analyzing donations to ensure transparency and efficiency.

Any advice, examples, or suggestions would be greatly appreciated. Thanks in advance for sharing your knowledge!

    Best regards,
    Tomas

    Hello Tomas,
we have some experience. The most important thing is to properly plan all entities.
You can record donations through some external form through webhook for example.

Based on your strategy you can have only registered donors or registered and anonymous. That should be probably separate entity. Another one should be "Donations".
You also need another entity for all fundraisings. Then donations should be connected to fundraisings and donors to donations and optionally to fundraisings.

    It's not difficult

In regard to reporting, fundraising should contain information about amount from all donations.
