    Hi, we are working with a small team and have personal email accounts and one group email account.

    This question is related to the group emails. In our situation, it looks like different users see different emails in the same group email folder. Is this how it should be?

    If Yes, I wonder how to work efficient as a team with one group folder. At the moment, every team member needs to move mails away to the trash, if they are not needed anymore ...

    What are best practices for teams to work with email sin Espo?

    Hi Bernhard,

    As the Trash (and Archived) folders are personal, when a user moves an email to the Trash, internally, it will mark that email as "In Trash" only for that user. The email will stay where it has been for other users. You might need another Group Folder to where your users will move resolved emails. Only Group Folders are synced between users.

    One can also utilize a Workflow rule to automatically move an email to Archived for all users once an email is moved to a specific Group Folder.
