can we apply specific condition for listing data of an entity?

can we apply a formula to list the data of an entity. Now it shows complete list(lead, opportunity..etc in all entities). can we apply a condition on listing data in these entities? Please help.

Its for visibility of fields. I need to list data of the entity on specific conditions . for eg: i want to list subjects based on the course chosen
